GENERAL SEMINAR TERMS AND CONDITIONS

Filmhaus Frankfurt e.V.
Fahrgasse 89
60311 Frankfurt am Main
Germany

Version: January 2026

1. Registration Conditions (Registration and Discounts)

1.1
Registration must be submitted in text form via the digital registration form for the selected seminar (this also applies to all information events and workshops) on our website.
For this purpose, you must first register on our website by providing the required data and creating a user account.

Proofs entitling you to a discount may or must be uploaded by the user to the user account after registration (PDF, JPG, etc.).
Discounted prices will only be displayed in the system after successful verification of the proof by the administrative office (at least one working day required).
(The proof may be submitted up to a maximum of two working days after the seminar date in order to retroactively claim the corresponding discount. If this deadline is exceeded, the full price booked will be charged.)

The discount on the participation fee stated in our seminar program will be granted, upon presentation of appropriate proof, to:
members of Filmhaus Frankfurt e.V. as well as pupils, students, trainees, etc. (additional types of discounts may be available).

(If you do not have internet access, registration must be submitted in writing by letter, stating the following information:

selected seminar (seminar code, date)

first name, last name, postal address, telephone number / mobile number, and, if applicable, proof entitling you to a discount, enclosed as a copy.)

1.2
Before submitting the registration, you must confirm that you have read and accepted our General Seminar Terms and Conditions (this document) and our information regarding photo rights.
(You may also find our hygiene concept for in-person events here, which you must likewise confirm that you have read and accepted.)

1.3
Upon registration, you will receive an acknowledgement of receipt of your registration.
The contract for booking the seminar is concluded as soon as we send you a booking confirmation or an invoice for the seminar, or by enabling your participation in the booked seminar.

1.4
If a seminar is already fully booked at the time of your registration, you may still register and be placed on a waiting list. Please note that participation in this case is only possible after personal confirmation of the registration by the administrative office. This binding confirmation of your booking may be issued at very short notice.

1.5
If the registration deadline for a seminar has already expired, you may still register and be placed on a waiting list. Please note that participation in this case is only possible after personal confirmation of the registration by the administrative office. This binding confirmation of your booking may only be issued at very short notice.

1.6
If there are other reasons for a reduced participation fee than those requested during registration, or if you wish to provide other important information regarding your participation in a seminar, please use the “Remarks” field during seminar registration.

2. Invoicing / Further Documents

2.1
The invoice for the participation fee is generally issued approximately one week before the start of the seminar and stored in your account under “Invoices.” You will be notified of the invoicing by email.
If you have specified an alternative invoice recipient, you are personally responsible for forwarding the invoice.
The participation fee is generally payable before the start of the seminar (or to be brought in cash at the beginning of the seminar).

2.2
After participation in the seminar, a personalized certificate of participation will be stored in your user account.

2.3
All further documents relating to the seminar will be provided to you by email. These include, for example, Zoom links for online events, possible inquiries from instructors prior to the seminar, and handouts for preparation and follow-up.

2.4
If you do not receive any emails from us, please check whether your inbox may be full or whether our emails were inadvertently filtered into your spam folder. In any case, we recommend checking your account before the start of a seminar to see whether documents have been made available to you.

3. Cancellation Conditions

After registering for a seminar, your booking (possibly as a waiting list entry) will appear in your account under “My Seminars.” In addition to booking details, you will find a button to cancel the seminar.
The seminar may be canceled free of charge up to the date specified in the respective seminar announcement.
Without prejudice to any existing right of withdrawal, the seminar can no longer be canceled free of charge after this date; the cancellation fees specified in the seminar announcement shall then apply.
The cancellation will be visibly displayed in your account.
If the cancellation occurs after invoicing and releases you from payment of the seminar fees, you will receive a corresponding cancellation invoice.

4. Cancellation or Postponement of Seminars

4.1
Filmhaus Frankfurt reserves the right to cancel seminars if the number of participants is too low. Such cancellation generally occurs before invoicing.
If invoicing has exceptionally already taken place, any participation fees already paid will be refunded and a cancellation invoice will be issued.

4.2
Filmhaus Frankfurt reserves the right to postpone seminars and/or replace instructors if instructors are unable to attend on the scheduled seminar date. The cancellation deadlines of the new seminar date shall apply.

4.3
In the event of cancellation or postponement of a seminar, Filmhaus Frankfurt is not obliged to reimburse any costs incurred by participants (e.g. travel expenses).

5. Payment Terms

5.1
Participation fees are payable after invoicing or generally before the start of the seminar (by bank transfer, PayPal transfer, or authorized direct debit, if applicable).

5.2
Value-added tax is not charged; the stated fees are the final amounts payable.

In the event of overdue payments, reminder fees will be charged or customary legal action will be taken.

6. Right of Withdrawal

6.1
If you are a consumer, you have a right of withdrawal (a consumer within the meaning of Section 13 of the German Civil Code (BGB) is any natural person who enters into a legal transaction for purposes that are predominantly neither attributable to their commercial nor their self-employed professional activity).
As a consumer, you may withdraw your contractual declaration ((online) seminar booking) within two weeks without giving reasons and informally in text form (e.g. by letter to Filmhaus Frankfurt e.V., Fahrgasse 89, 60311 Frankfurt am Main, Germany, or by email to info@filmhaus-frankfurt.de).

The withdrawal period begins upon receipt of this notice, but not before the conclusion of the contract and not before we have fulfilled our statutory information obligations.
To comply with the withdrawal period, it is sufficient to send the notice of withdrawal in due time.
The withdrawal must clearly express your decision to withdraw from the (online) seminar booking.
You may use the attached model withdrawal form for this purpose, although this is not mandatory.

6.2 Premature Expiry of the Right of Withdrawal
The right of withdrawal expires prematurely at the time the (online) seminar begins, in particular also if the seminar starts before the end of the withdrawal period.

6.3 Consequences of Withdrawal
If you withdraw from the (online) seminar booking, Filmhaus Frankfurt e.V. shall reimburse all payments received from you no later than 14 days from the day on which Filmhaus Frankfurt e.V. receives notification of your withdrawal.
For the reimbursement, we will use the same means of payment that you used for the original booking.
No fees will be charged for the reimbursement.

Upon withdrawal, any access data that may already have been provided to you for participation in online seminars shall become invalid; any further use of such data is not permitted.
